Objective:

In this role you take the responsibility to coordinate and organise complex international shipments  from beginning to end, liaising with our international partners and deliver excellent customer service to our clients.

Reporting to the Logistics Manager, the main objective of this role is to maintain and co-ordinate office administration vis-à-vis all aspects of shipping functions with a view to improving efficiency and service.

Key responsibilities:

  • Lead and empower colleagues to always put the customer first and deliver outstanding customer service
  • Actively listen to and respond effectively to colleagues and customers.
  • Owning communication with Sales department, Brand/Shippers, Shipping Agents/Forwarders, Data Team, Customs Broker, Customs, Warehouse, Hauliers and throughout the whole process.
  • Arrange shipping  logistics  with suppliers and their agents /our contracted agents regarding collection date / departure from port of origin / tracking shipments to Port Malta .
  • Obtaining all required documentation from suppliers in order to be able to clear shipments in the minimal amount of time.
  • Preparation of customs import docs / aligning with customs / our contracted hauliers /warehouse to unload stock.

Various administrative tasks

  • Support the team to ensure a smooth delivery of services
  • Co-ordinate with operations team for daily job distribution.
  • Support operations to solve problems and provide solutions.
  • Obtain updated Seafreight rates from current agents / pursue other avenues to find better solutions – faster & cheaper.
  • Record and update all necessary details in the in-house software – Microsoft D365
  • Receiving /chasing agent for invoices, reconciling prices, passing over to Finance
  • Any other duties required to assist business growth

Typical Educational Requirements

  • Computer literate essential
  • Flexible with a willingness to work as part of a team
  • Ability to pay particular attention to detail with an emphasis on accuracy and efficiency
  • Strong organisational skills
  • A logical and systematic approach to work
  • Good time management ability
  • Excellent written and verbal communications skills in English and Maltese
  • Able to work calm under pressure & able to work on own initiative & make decisions
  • Working in a small team where colleagues are important, with an awareness to the bigger Hudson Team
