Purpose of the Job

As a Supply Chain Administrator, you will play a crucial role in supporting the smooth and efficient operation of our supply chain. You will be responsible for performing a wide range of administrative tasks, data management, and coordination activities to ensure that our supply chain functions effectively and meets our operational goals.

Key responsibilities will include:

  • Create and process purchase orders from both Local and Foreign Suppliers
  • Ownership of the “Procure to Pay (P2P)” administration process related to direct material.
  • Monitoring and adjusting delivery dates according to suppliers’ order updates, informing the relevant stakeholders in case of delivery delays
  • Manage and Monitor the “Order to Cash (O2C)” administration process for B2B customers.
  • Creation and Management of all incoming shipments from vendors. Creating all the information required for the warehouse team to manage the inbound shipments and following up on any queries and issues related to each shipment.
  • Management and posting of “product receipts” and creation of “invoice” in relation to received goods.
  • Liaising with Stock Controller to mitigate any risk of stock loss and strive for integrity on the ERP.
  • Evaluate and gain knowledge of Supplier operations.
  • Collaborate with various departments, including Finance, Merch, Logistics, and Warehouse teams.
  • Communicate with suppliers, carriers, and internal stakeholders to resolve issues and provide status updates.
  • Liaise with Manager on a regular basis in order to update on any issues that may arise.
  • Analyse data sent by suppliers and communicate with our Master Data Team for the creation of such data.
  • Assist in inventory control activities, including Transfers, Stock Adjustments, Stock Counts and Reconciliations of our Retail outlets.
  • Check to make sure that accurate data has been entered into the database.
  • Other operational duties as required.

Core competences:

  • Experience in data management
  • Proven experience in a supply chain, logistics, or administrative role is a plus.
  • Advanced knowledge of MS Excel
  • Being able to review and analyse detailed data and make intelligent recommendations to improve business operations.
